Privacy notice
This notice explains how Know Wales ("we", "us") handles personal data when you use knowwales.co.uk. We collect the minimum needed to run the site and improve local knowledge pages.
For the purposes of UK data protection law (including the UK GDPR and the Data Protection Act 2018), Know Wales is the data controller for personal data described here.
What we collect
- Report an update: the message you send, optional page URL or evidence, and your email if you ask for a reply.
- Get listed: business name, town, category details, and a contact email.
- Technical / analytics: path-only first-party page counts on knowledge pages (stored in aggregate by week) so we can surface popular pages on the homepage. We do not use cookies or personal identifiers for this. We may also use aggregated hosting analytics. We do not run advertising trackers or sell audience data.
- Server logs: standard hosting logs (for example IP address, user agent, request path) processed by our hosting provider to operate and secure the site.
Why we use it (lawful bases)
- Legitimate interests: to check and update knowledge pages, prevent abuse, keep the site secure, and understand which pages are useful — in ways that do not override your rights.
- Contract / steps prior to contract: when you ask to be considered for a listing or claim a profile, so we can respond.
- Legal obligation: where we must keep or disclose information to comply with the law.
- Consent: where we ask for it (for example optional marketing email — we do not currently run a marketing list).
Who we share it with
We do not sell personal data. We use processors who help us run the service, including:
- Vercel — hosting and edge delivery
- Neon — managed Postgres database for site content, form submissions, and aggregated path-only pageview counts
Those providers may process data in the UK, EEA, or other countries with appropriate safeguards (for example standard contractual clauses). We only share what is needed for each service.
How long we keep it
Report and listing-request data is kept while it is useful for freshness, safety, or an open conversation with you, then deleted or anonymised. First-party knowledge pageview counts are kept as weekly path aggregates (no personal identifiers). Server logs are retained for a short operational period.
Cookies
We use cookies or similar technologies only where needed for the site to work (for example security or load balancing). We do not use advertising cookies. If we introduce non-essential cookies later, we will update this notice and obtain consent where required.
Your rights
Under UK GDPR you may have the right to:
- access your personal data
- rectify inaccurate data
- erase data in certain cases
- restrict or object to certain processing
- data portability where processing is automated and consent- or contract-based
- withdraw consent where we rely on it
- complain to the Information Commissioner's Office (ICO)
To exercise these rights, use Report an update and state that your message is a privacy request, or email privacy@knowwales.co.uk. We may need to verify your identity before responding.
Children
The site is aimed at adults making practical decisions about travel, food, trades, and similar. We do not knowingly collect personal data from children for marketing.
Changes
We may update this notice when our practices or the law change. The "Last updated" date above will change when we do. Continued use of the site after an update means you should read the new notice.
